Job Description:

Support the Facilities Manager in the operation of 80+ locations in northern and central California. Manage the day-to-day facilities operations including coordination of vendors providing janitorial, HVAC, electrical, plumbing, landscape and general maintenance services. Assist with special projects, including new construction, capital improvements and maintenance initiatives. Coordinate with vendors, facilities staff and other service providers as required to ensure high standards of execution with minimal disruption to continuing operations.

1.) Real Property Management functions to include:

A. Plans, organizes and directs actives related to the operation and maintenance of the company's land and building.

* Manages the operational and maintenance activities for all company facilities. * Develops and manages the company's total occupancy budget. * Ensures all capital expenditure projects are completed on time and within budget. * Selects and negotiates contract terms and fees, manages activities and evaluates outside contractors and vendors. * Reviews, monitors and obtains approval for occupancy expenses.

B. Executes management approved space planning strategies to accommodate current and future organizational needs.

* Directs all activities related to physical relocations of departments including developing interior design, furniture and equipment layouts and project budget for all construction, remodels and reconfigurations. Oversees the installation of furniture and equipment. Coordinates the relocation of furniture and equipment. * Selects and negotiates furniture acquisitions. Reviews current inventory to identify recyclable vs. refurbishable.

C. Manages bank's lease contracts. Under management direction negotiates leases, subleases and sale of bank property.

* Under management direction markets, negotiates, and subleases bank's unoccupied leased space.

2.) Managerial functions to include:

* Manages the overall activities of the department. * Prioritizes projects. * Reviews work of subordinates, develops performance objectives, provides performance coaching, recommends salary and promotional transactions. * Interviews and selects best qualified applicants. * Generates departmental goals, quality and service standards. * Develops and monitors departmental budget.

3.) Responsible for scheduling vendors for repairs and maintenance at all facilities.

* Complete repair requests, maintain follow-up Log, assess the severity of the problem and resolve the problem. * Schedule work with vendor. * Follow up with branch/department and vendor to ensure problem is resolved.

A. Manage branch/building key systems.

* Work in conjunction with Branch Review Department to ensure accuracy of Key Log. * Physically certify DOM key system annually.

B. Audit invoices and payment requests prior to submission for payment. Verify invoices to corresponding repair request to determine payment validity.

C. Create, monitor and maintain contracts for all vendors. Ensure vendor has current certificate of insurance on file.

* Annually certify with the State of California that vendor is bonded.

4.) Administer annual processes as approved by management.

5.) Collect, post and monitor all sublease income. Create and maintain Financial Management System (FMS) tables for internal use (i.e., buildings with multiple tenants, operations and Systems cost allocation). Prepare related general ledger entries for month-end processing.

6.) Monitor, analyze and process all PG&E statements on a monthly basis.

7.) Complete monthly allocation of all building expenses.
