Job DescriptionDuties: JOB SUMMARY Provides administrative support to the front desk and/or one or more assigned areas of the Human Resources Department. Incumbents are expected to work under close supervision in carrying out a variety of assigned duties, tasks and projects. Responsibilities include personnel document processing, record keeping and scanning, public reception and phone coverage, data entry and maintenance of spread sheets, inhouse data bases including primary, specialized network based and web based HR projects, NorthBays HR/Payroll systems expertise. Prepares or assists with preparation of, draft and final versions of correspondence, memos, reports, and analyses. Expected to be able to work independently with minimal supervision in carrying out a variety of assigned duties, tasks and projects across human resource specialty areas including talent acquisition, employee relations, compensation, benefits, and learning and leadership. PRIMARY JOB DUTIES As a member of a Human Resources Team, performs routine duties in one or more assigned areas of Human Resources: Talent Acquisition Processes confirmations for external hires and internal transfers including change of hour forms for all System positions. Prepares materials and attends job fairs and career days. Responds to Talent Acquisition related questions from System staff and applicants. Effectively advises and educates managers on HR policies and procedures posting to recruitment to employment. Has knowledge and mastery of the Applicant Tracking System. Answers questions for managers, staff and applicants. Coordinates assigned aspects of the new hire process. Provides support for job description updates and revisions. Employee Relations Manages anecdotal notes, creates file when employees term. Assists in preparation for retirements, resignations, terminations for cause and reductions in force. Provides information to internal clients on specific Employee Relations policies, procedures and practices. May assist in processes on call availability inquiries and follow up; provides on call hour reporting to managers on a regular basis. May assist in processes all court related documents including subpoenas and actions. Enters and maintains data in HR databases. Assists in managing work eligibility process for foreign workers. Leave of Absence and Benefits Provides counsel and referral to outsource Leave Management Company Prepares all necessary paperwork for LOA and integration when required. Enters and maintains data bases for leaves. Provides front line and consulting services to all employees for leave and benefits processes. As project work in support of HRSS II or III, follows up on required benefits documentation for staff elections monthly. Other Duties: Models NorthBay Way and System values and norms, demonstrates alignment with regulatory and strategic. directives, demonstrates compliance with System standards in all circumstances. Works collaboratively with other HR staff for services. Assists with the standardization of internal procedures to support assigned work. Completes accurate and timely entry into LAWSON, Halogen, Kronos and other systems and databases. Participates as a team member in quality improvement processes including but not limited to monitoring and trending outcomes for teams as required. Scans all documents in Image Now as assigned and routes accordingly as necessary. Assists in providing phone coverage and front desk coverage for the office or satellite HR offices. Performs other duties as assigned. Skills: Experience: Two to three years prior clerical/administrative support experience required preferably in a Human Resources department or Bachelors Degree in an HR or related Business field may be substituted for the two to three years of prior clerical experience. Previous hospital/healthcare experience preferred. Skills: Must demonstrate strong written, verbal, and phone communication skills. Must be highly literate in computer use. Ability to learn new things quickly. Intermediate proficiency in Microsoft Office products including Outlook, Excel and Word. 50 words per minute keying speed highly desirable. Must be able to maintain strict confidentiality and discretion. High attention to detail and accuracy. Must be highly organized and be able to effectively multitask while working on multiple projects in a busy office environment. Responsible for keeping the lobby and front reception looking clean, professional and clutter free. Must be familiar with operation of multiline phone systems, fax machines, copiers; Windows computer systems, printers, peripheral hardware. Physical Effort: 80% sitting with use of computer terminal, phones. Some walking, bending and lifting of up to 15 pounds. Some transporting of oversized equipment to support Employee Relations activities. Assistive devices available. May be required to drive an automobile between NorthBay work sites and off campus locations. Other: Requires a high level of comfort with taking initiative and being accountable for team work and service excellence. Start Date: 08/29/2022 Hours Per Week: 40.00 Hours Per Day: 8.00 Schedule Notes: M-F 8a-5p onsite Days Per Week: 5.00
